When you and more generally, use any of our services (the “Services”, which include a set of features listed under the security and community management modules), we appreciate that you are trusting us with your personal information. We take your privacy very seriously. In this privacy notice, we seek to explain to you in the clearest way possible what information we collect, how we use it and what rights you have in relation to it. We hope you take some time to read through it carefully, as it is important. If there are any terms in this privacy notice that you do not agree with, please discontinue use of our Services immediately.

1. INTRODUCTION

The GateSmart suite is a set of innovative features designed to enhance security of gated communities and housing societies, and lend convenience to its moving parts – residents, committee members, facility managers and daily staff. Our various services include:

Household Management & Child Security: All residents can add family members or housemates to manage visitors and ensure security of their children. As part of the GateSmart Visitor Management System, users can hire and register all the daily help that live in their unit or visit their home on a regular basis. Each time a domestic staff member enters the society, we will notify you so you can accurately keep a track of their attendance.

Delivery Management: Manually granting approvals for every delivery agent can be cumbersome. This is why we let residents auto-approve cabs, companies and all the personnel that they frequently derive services from. Our robust tool performs a strict match and makes sure residents have a clear understanding of all their expected visitors for the day.

Guest Invitations: Residents can select the contact(s) from their phonebook or manually enter their guest’s details and we send them an invite through an automated SMS. Concurrently, we also generate a welcome invitation card that residents can share via WhatsApp.

Emergency/Threat Management: GateSmart gives you the option to raise emergency alarms and raise threat alerts to your building’s security. Each time a resident clicks the SOS button, your security guard will instantly be notified with a loud alarm with your location and will follow the designated protocol to get you out of any danger.

Passcode Protected Delivery Collection: With GateSmart, you can notify your guard about any missed parcels, and pick up your packages using your unique key when you get back home.

Temperature and Mask Compliant Visitor Management: We enable security guards to conduct thorough temperature and mask compliance checks at the gate. Once the numbers are recorded at the gate, residents can view these details on the GateSmart app before allowing entry to any visitor.

Smart Intercom Services: Our smart intercom solution enables residents to leave messages and connect with security guards using their registered mobile numbers.

Communications Management: With the all-new digital notice board, each time your management uploads a notice, you will get notified on the GateSmart app and on your registered email. Your management can also send out group Emails/Text Messages to the community.

Community Forum & Interest Groups: Residents can use this platform to create text posts, upload images and videos, start polls, sell items, ad create events. We also give residents the option to filter their forum by post type and fine tune their notification settings. With GateSmart, residents can discover and request to join different groups in their community and also create custom closed groups and privately send invites.

Amenity Management and Facility Bookings: GateSmart ensures that booking amenities in the community is a seamless process. Administrators can now create time slots and rule descriptions for different facilities, manage a record of usage, and restrict access to the members of the community.

Concierge Solutions: Our concierge solutions take care of every detail to help curate a hassle-free experience for residents and administrators. With transparent communication, management can now auto-assign complaints to the concerned staff, track the progress of tickets in real-time and resolve issues more efficiently

Billing, Payments & Accounts Management: We allow our users to pay their maintenance bills and rent on their app and keep a track of all outstanding charges to avoid any confusion with their management in the future. With GateSmart, users will have access to a comprehensive ledger that will be generated for their unit every month.

2. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

In Short: We collect personal information that you provide to us. All the information collected via the GateSmart suite (mobile application or website) is to help improve our services and provide our clients with the best user experience.

We collect personal information that you voluntarily provide to us when you register on to our platform. The personal information that we collect depends on the context of your interactions with us and the, the choices you make and the products and features you use. In other words, all the information collected and used by us is subject to how you decide to use our services and manage your privacy controls. For our standard plans, users will only have to disclose their mobile number, email address, name and society/block/flat details. However, for more advanced paid features like Billing and Accounts, additional payment information may be collected to enable these services. GateSmart treats all personally identifiable information as sensitive and gives its users full control over this information.

Resident Log-in: Residents (“Direct Users”) can sign up on the app by registering their mobile number and verifying it with a One Time Password. Once their number is verified, they have to enter their full name, email address, and add their flat/villa.
All personal information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.

Service Providers/Domestic Help (for the community and for individuals): Residents have to register their domestic help by sending them to the security check point. The information we collect includes the name, phone number, resident unit (if any), vehicle number (if any), photograph, document proof image, and entry/exit times. To uphold the security in the community, we collect personally identifiable information of both service providers and delivery personnel as per the local laws governing the place.

Guest Invitations: We allow residents to enter their guest information like the name and mobile number as well as give them the option to select guests from contacts and send them invitation cards. If a particular Resident Welfare Association doesn’t want information like phone numbers to be collected for residents at the gate, we strictly adhere to that.

Information automatically collected:

In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our website. (http://www.gatesmart.in)

We automatically collect certain information when you visit, use or navigate the pages of http://www.gatesmart.in. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our and other technical information. This information is primarily needed to maintain the security and operation of our suite of services and for our internal analytics and reporting purposes.

Like many businesses, we also collect information through cookies and similar technologies. Like most other websites, we do this to improve and personalize our services for you and we do not share this information with any third-party organizations for commercial purposes. GateSmart doesn’t trade or sell user information in any form to anyone. We give apartment community members, specifically the administrator, access to all the information collected for their society.

The main services because of which GateSmart collects information include:

• Account set up and administration
• Personalization of content or user information
• Client communication involving engagement about new features, feature usage, usage guidance, and so on
• Legal obligations and adhering to internal audit requirements
• User Safety: Information collected by us is used to improve reliability and trustworthiness of services provided by us across all platforms. These include but are not limited to detecting, preventing and resolving any security risks, fraudulent practices or technical issues that can harm our users.

3. WILL YOUR INFORMATION BE SHARED WITH ANYONE?

In Short: We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations.

We use a third-party call broadcasting API to trigger IVR calls for easing the approval-denial process and give residents complete control to opt out of receiving these calls. It must be restated that we at GateSmart do not share your personal information with third party companies, organizations or individuals for any commercial purposes. However, if a case in future arises where some data needs to be shared, we will keep you informed and take your consent as applicable. We will always make sure that you are in full control of the information we collect and how it is used.

We may process or share your data that we hold based on the following legal basis. More specifically, we may need to process your data or share your personal information in the following situations:

• Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
• Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this privacy notice. Affiliates include our parent company and any subsidiaries, joint venture partners or other companies that we control or that are under common control with us.
• Business Partners. We may share your information with our business partners to offer you certain products, services or promotions.

4. HOW SECURE IS YOUR DATA WITH US?

GateSmart would like its users to understand and accept that any data transmission over the internet may be liable to risk and that the company would assume no liability for any disclosure of information due to errors in transmission issues or unauthorized third-party access to our platforms or databases. That being said, we have worked hard towards building security into the fabric of every system that we develop in order to ensure that your data is always secure.

The entire GateSmart Suite and all its processes are built with strong security features that continuously protect your information. We even perform real time checks and tests to help us detect and automatically block security threats from ever reaching our user. In the unforeseen event of any threat detection that we deem you should be aware of, and we will notify you and guide you through steps to keep your privacy protected.
We are constantly striving to protect your data from unauthorized access, disclosure, modifications, or destruction of any information we hold, including:

• All information going in and out of the app is 256 bit https encrypted. TLS encryption is used throughout the application for data in motion and data is also encrypted at rest.
• All information is stored in servers with best in class firewalls and needs multiple authentications for any access and no unauthorized person will have access to the same.
• We constantly review our information collection, storage and processing practices, including physical security measures, to prevent unauthorized access to our systems.
• We restrict access to personal information to employees, and external contractors who may need the information in order to process some services. Any internal employee with this access is subject to strict contractual confidentiality obligations and strict actions (up to termination or criminal action) will be taken if they fail to meet these obligations.
• The GateSmart application and data servers do not use public accessible addresses or IP. The access is further secured through a VPN tunnel with 2FA (two factor authentication). All traffic is routed through a WAF (Web Application Firewall) and is checked strictly for malicious traffic.

5. HOW LONG DO WE KEEP YOUR INFORMATION?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than 365 days.

User Information Retention and Deletion

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

The information collected on our platforms is retained for different periods of time depending on what the information is and how it is used and how you configure your settings. Users can request a copy of their information from us or delete all personal information from their GateSmart account at any given point of time.

6. DO WE COLLECT INFORMATION FROM MINORS?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

We do not knowingly solicit data from or market to children under 18 years of age. By using the GateSmart Suite, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of the GateSmart suite of Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 7. WHAT ARE YOUR PRIVACY RIGHTS?

In Short: You may review, change, or terminate your account at any time and unsubscribe from information or communications.

We have several tools in place that are designed to help users manage their privacy across our platforms and services. Additionally, we also provide other mechanisms through which users can reach out to us to modify or erase their information available with us.

Account Information

Review and Update your information: After signing in, you can always view/edit your profile details. You can update your mobile number, name and email address.
If you would at any time like to review or change the information in your account or terminate your account, we can upon your request help to terminate your account. Concurrently, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our Terms of Use and/or comply with applicable legal requirements.
Opting out of communications: We provide all users with options to opt-out from receiving non-essential (promotional, marketing related etc.) communications from us. You can unsubscribe from our marketing email list at any time by clicking on the unsubscribe link in the emails that we send or by contacting us using the details provided below. You will then be removed from the marketing email list — however, we may still communicate with you, for example to send you service-related emails that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes. To otherwise opt-out, you may provide us necessary information at info.gatesmart@gmail.com
You can also opt out of receiving IVR calls for the purposes of allowing or denying entry to visitors waiting at the gate. As mentioned earlier, the IVR calls are simply for the purposes of easing the visitor management system and will never be used for promotional or marketing calls.

8. CONTROLS FOR DO-NOT TRACK FEATURES

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.

9. DO WE MAKE UPDATES TO THIS NOTICE?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this privacy notice from time to time. The updated version will be indicated by an updated “Revised” date and the updated version will be effective as soon as it is accessible. If we make material changes to this privacy notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy notice frequently to be informed of how we are protecting your information.
